When should I contact a venue?
Honestly, as soon as possible. Venues are typically always booked out within 12-18 months for events. Occasionally they have dates open up but as soon as you know your date and found a venue you love I would lock it in.
Nothing is ever set without a contract + deposit (typically).
Also make sure you do a full walk through, that way you can get an idea of the light in the space and what is included in your rental.
